School Bookeeper/HR Coordinator
Immaculata High School is seeking a Bookkeeper/HR Coordinator to perform a variety of responsibilities including general bookkeeping such as accounts payable and receivable, payroll, banking, student registration, and tuition collection; and human resources functions such as benefits specialist, onboarding of new employees, fielding employee questions and managing employee files. This position works with and under the direction of the Business Manager and ultimately reports to the Head of School and to the pastor as Director of Schools.
Essential Duties:
- Maintains a comprehensive bookkeeping system for accounts payable and receivable using QuickBooks
- Process payroll for 75+ employees using Paychex system
- Customize and maintain 403b information for employees
- Issue 1099's and request W-9's and insurance certificates as appropriate
- Count and deposit money for all departments and activities
- Assist Business Manager in reconciling accounts
- Manage re-registration process
Assist Business
- Manager with tuition and fee collection using FACTS Management and QuickBooks
- Field tuition and financial aid questions from parents and prospective families
- Serve as benefits representative to all employees including
- Open Enrollment
Onboard new hires including paperwork and background checks
- Manage employee files and field HR questions
- Process workers compensation and disability claims
- Ensure compliance with proper accounting practices and HR standards
- Manage large vendor relationships such as Staples and Amazon
- Collaborate with Church Office, elementary school (ICS), and Diocese of Metuchen
Preferred Qualifications:
- Human Resources experience a must
- QuickBooks experience a must
- Knowledge of Microsoft Office, especially Excel, and Google Suite a plus
- Degree or certificates in the areas of HR or general accounting
- 3+ years experience working in a school business office or related work experience
- High level communication and interpersonal skills to work with employees and families
- Interest in providing employees and families a welcoming and positive experience
- It is preferred that the applicant be a practicing Catholic who strives to live according to Catholic faith and morals
Compensation:
Based upon the individual's level of experience.
